My client is seeking an organised and experienced Administrator to join their team on a permanent basis.

This role does offer hybrid working; however you will be required in the office more frequently whilst training.

Main duties and responsibilities:

Provide back-office support in a structured and responsible manner. Some of the tasks many involve but will not be limited to the following:

  • Updating master spreadsheets, registers, and compliance checklists
  • Aiding the consultant in meeting preparations i.e. Drafting Agendas, collating papers, production and issuing of meeting packs, confirming details to the host venue
  • Preparing minutes templates in advance of the meeting
  • Preparing and updating Action logs after the meeting and in some cases issuing to providers/sending reminders or carrying out actions in a timely manner
  • Carrying out quarterly tasks prior to meetings
  • Invoice logging and processing
  • Annual scheme budget logging and monitoring
  • Creation of meetings and upload of papers to on-line portals
  • Liaising with providers ensuring they have all the meeting dates, that their actions are completed and any papers to be included in the pack are received in a timely manner
  • Aiding with the completion of internal reports
  • Checking supporting documentation is complete
  • Diary Management
  • Meeting scheduling and arrangements
  • Handling internal and external post and ensuring letters are acknowledged and passed to the appropriate provider
  • Answer incoming telephone calls, providing assistance to callers
