Page Personnel is recruiting an EA to CEO of a start up joint venture between 2 very well known and established companies.

Client Details

They are leading the way in generating ultra low emission technology. The company is part part of a massive global structure of 19,000 people, but the office and business in London is currently 4 people and growing to 40-50 by end of next year. This will be a really fast paced environment and really suit someone who is excited by the growth and scaling up.

Description

* Coordinating the executive calendars across multiple time zones

* Liaising with other EAs in multiple time zones to arrange meetings with senior stakeholders with conflicting diaries.

* Arranging of multiple global travel arrangements, preparing agenda, arranging logistics entry requirements, attending team meetings and maintaining action logs for leadership team meetings.

* Management of extensive travel arrangements such as taxis, accommodation, restaurant bookings and collate travel itineraries.

* In-charge of logistical arrangements of high profile visitors from Head Offices.

* Management and responsibility for diary management, in-box management and ad-hoc administrative duties

* Prepare materials for meetings and provide post-meeting follow-up notes.

* Co-ordinate internal and external meetings

* Prepare quarterly Townhall, setting up and support events; (Lunch & Learns, Breakfast meet ups etc.)

* Generate expense and claim form submissions

* Be able to create a new supplier in the system, invoicing support and raising POs

Profile

  • Being accountable for all projects and tasks undertaken. Ensuring information is obtained and completed on time.
  • Prioritising workload to meet the ever-changing business objectives and demands
  • Good knowledge of Microsoft Office; SharePoint, Excel, Word and PowerPoint
  • Proven ability to work under pressure and multi-task
  • Can effectively prioritise work
  • Strong team player
  • The ability to influence and negotiate to a high standard
  • High level of integrity; confidentiality and discretion are a major part of this role
  • Strong interpersonal skills, communication and organisational skills
  • Able to deal with ambiguity
  • Excellent attention to detail
  • Ability to communicate with people at all levels confidently and professionally
  • Spoken French, Spanish or Mandarin would be an advantageous bonus, but isn't a necessity

Job Offer

£50,000 - £58,000 (depending on the candidate)
