Our client a leading charity in Central London is recruiting a Team Administrator/ PA to join the team on a part-time temporary basis. The role will play a vital position in supporting the work of the entire team through providing high quality administrative support. Working closely with the Department Manager the role holder will work together with other team administrators to provide excellent support to the team both practically and enabling the team to perform to best effect.

This role will be working Part time 2 - 3 days per week. On an ongoing temporary basis.

The role offers Hybrid working with just 1 Day's per week in the office

The ideal candidate will be immediately available or able to start at short notice.

  • To provide high quality administrative, and logistical support for the Directors and Deputy Director
  • To arrange key regular meetings and ad hoc meetings for the Directors and Deputy Directors
  • To assist in ensuring that the team is up to date with relevant processes and policies including travel, procurement, expenses and other policies.
  • To support, participate in and enable team projects, assisting in planning meetings and booking meeting rooms or zooms as appropriate.
  • To support the organisation of whole team away days including location, logistics and catering and to organise whole team collaborative working days throughout the year at agreed intervals.
  • To support the use of processes and channels that enable good team working including teams and zoom accounts.
  • To provide support in processing of invoices and expense claims as needed.
  • Arranging social events for the team.

PERSON SPECIFICATION:

Essential Skills:

  • Good at and enjoys planning and organising with strong attention to detail
  • Works well to deadlines
  • A positive, proactive attitude to all tasks approached
  • Excellent communicator in writing and verbally
  • Strong IT skills - in particular Outlook, PowerPoint, Excel and Word
  • Ability to work comfortably with competing priorities - to reprioritise work when required, use problem solving skills to deal with issues if they arise
  • A team player, able to work well both within a team and individually
  • Comfortable communicating with senior colleagues and stakeholders
  • Flexibility to work across various department activities
  • Comfortable handling and analysing confidential and often complex data.
  • GCSE or A Level qualifications including Maths and English or equivalent
  • Presentation creation using Microsoft PowerPoint
  • Working with highly confidential documents (using and storing).
  • Planning and organising activities and/or events which support project work using software from the Microsoft Office suite
  • General administrative duties as well as contributing ideas to improve the efficiency of processes.

Desirable Skills:

  • Using Zoom and the functionality of the software to support the delivery of online events and modules
  • Experience working in a charity or not-for-profit
