- Supporting at Managing Director level
- General support to the wider team in EMEA - Analyst, Associate, VP, MD in conjunction with 3 other senior assistants and a floor admin
- Booking eventsÂ
- Working with the team/Assistant team to on board new hires
- Diary and calendar management for bankers (Associate level+)
- Coordinating and scheduling of meetings and con calls across multiple time zones
- Managing high volume of phone calls and emails, relaying information in a timely and accurate manner
- Coordinating room bookings for internal/external meetings and VCs across multiple locations
- Coordinating travel arrangements for the team, including:
- Visa applications
- International flight and accommodation bookings
- Car bookings
- Expense management and preparation
- Taking on ad hoc tasks while maintaining workflow
- Supporting teams in day to day issues, needs and queries
- Providing phone / holiday coverage for colleagues
- Minimum 3 years’ experience in financial services, of which 2 years of direct experience as either a Personal Assistant or Team Assistant, preferably within Banking
- Excellent knowledge of Microsoft Office suite, particularly Outlook, Word, Excel, PowerPoint and SharePoint
- Professional, positive, can do attitude to work
- Strong communication, excellent telephone manner
- Ability to be proactive, use initiative and multi-task, as well as prioritise
- Team player with experience of working in a large team with strong interpersonal and organizational skills
- High level of discretion/confidentiality when handling sensitive and confidential information
- Ability to work with different time zones including the Americas, EMEA and Asia
