Team Assistant Salary £30,000 - £36,000

Based in Liverpool Street

Hybrid Role 3 days in the office, 2 days at home

A property and construction consultancy are looking for a Team Assistant to join their team based in Liverpool Street. The role will be supporting 3 teams within the business with a range of administrative and project coordination tasks including assisting with financial forecasts, managing billing, maintaining files, arranging travel and supporting tender processes. Looking for a Team Assistant with experience in the construction sector with the ability to manage heavy workloads and multitask with excellent attention to detail.

Key Responsibilities:

  • Coordinate project delivery deadlines within the team
  • Arrange and attend weekly team meetings, keep minutes of actions
  • Follow all Quality Assurance and standard procedures
  • Support Directors with the creation of financial forecasts
  • Typing and issuing fees and managing departmental billings
  • Directors timesheets/Expenses/Credit card statements etc
  • Letters, specifications, reports and large documents for Directors/teams
  • Understanding all documents are filed in the correct directories following company guidance notes
  • Opening new jobs, making new files, keeping filing up to date
  • Booking travel/accommodation and booking meeting venues if required
  • Maintaining CRM - Projects/Contacts etc.
  • Coordinating tender processes
  • Monitoring Director and team movements on a daily basis
  • Managing loan working procedures within the team
  • Assisting Director with managing team holiday requests

Experience Required:

  • Experience providing support to large, demanding teams, ideally within construction consultancy.
  • At least 1 year Team Assistant experience.
  • Knowledge of invoicing processes
  • Proficient in managing heavy workloads, meeting tight deadlines, and effectively managing expectations.
  • Proficient with Microsoft Word and Excel
  • Strong written and verbal communication skills, with keen attention to detail
  • Experience in taking minutes and dictation tasks advantageous.
