Job Description:

We are looking for an organized and proactive Team Assistant to join our team in the heart of the City of London. This role is critical to ensuring the smooth operation of our daily activities, providing high-level administrative support to a dynamic team of professionals.

Key Responsibilities:
  • Administrative Support: Deliver comprehensive support to multiple team members, including calendar management, meeting coordination, and travel arrangements.
  • Document Management: Prepare, edit, and format documents, presentations, and reports with high attention to detail. Ensure all documentation is accurate and professionally presented.
  • Meeting Coordination: Organize internal and external meetings, conference calls, and events. Handle logistics, prepare agendas, and take minutes where necessary.
  • Communication Management: Act as the first point of contact for the team, managing incoming calls, emails, and correspondence. Ensure prompt and efficient communication with stakeholders.
  • Project Support: Assist with team projects by coordinating tasks, tracking progress, and supporting project timelines to ensure successful completion.
  • Office Management: Support day-to-day office functions, including ordering supplies, managing expenses, and maintaining organized filing systems.
  • Stakeholder Engagement: Build and maintain strong working relationships with clients, vendors, and internal teams to facilitate effective collaboration.
  • Ad Hoc Tasks: Handle additional administrative tasks as required, demonstrating flexibility and a willingness to take on new challenges.
Required Skills and Experience:
  • Proven experience as a Team Assistant, Administrative Assistant, or similar role in a fast-paced professional environment.
  • Strong organizational and multitasking abilities with excellent attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and the ability to quickly learn new systems.
  • Excellent communication and interpersonal skills, with a professional and approachable demeanor.
  • Ability to work both independently and as part of a team, demonstrating initiative and a proactive approach.
  • Strong time management skills, capable of prioritizing tasks effectively under pressure.
  • Discretion and confidentiality in handling sensitive information.
  • Previous experience in a financial services, legal, or corporate setting is a plus.
