Senior Administration Manager (Commercial) - Central London - £38,000 - £48,000An established successful private London based property company, owning and managing a substantial commercial and residential portfolio, in excess of 800 properties are looking for an organised, experience Commercial Administrator Manager to join their growing team.Based in their Central London office as part of their Commercial Property Management team supporting a team of 4 Administrators this is a very varied Administrator role. You will be joining a very tight knit, family feel team. They support each other and are looking for someone to come into the team and ensure the smooth running of all processes. Key Responsibilities:Covering areas such as Purchase Orders, Ticket/Job Raising, liaising with Tenant and Contractors - this includes areas like the below:

  • To be the main point of contact for all tenants and contractors
  • Diary Management for the Commercial Team (especially Head of Department)
  • Raising tickets, jobs and POs for all commercial repairs which are instructed as well as overseeing the works to completion.
  • Working alongside all PMs and various departments i.e. lettings, residential, service charge and legal. Ticket/Job raising
  • Raising tickets when issues for property`s has been reported
  • Raising Job orders when works has been instructed by the property managers
  • Raising POs for all commercial repairs logged
  • Sending POs to all contractors on a daily basis
  • Amending any errors on PO's
  • Obtaining quotes from contractors
  • Closing PO`s once the works has been completed
  • Instructing health and safety audits
  • Attend monthly meetings to ensure audits are taking place as planned
  • Sending compliancy statistics to the commercial team and assisting with the works required Invoicing
  • Sending contractor invoices to the accounts department
  • Raising any queries/errors
  • Weekly contractor invoices - update status checks Tenants
  • Assisting with repair queries, service charge queries, insurance works
  • Sending work instructions
  • Complete PO trackers
  • Dealing with invoice queries
  • Chasing the progress of outstanding works

Key Experience & Skills Required:

  • Demonstrate proven experience in Administration or Secretarial roles within Commercial or Residential
  • Minimum 3 years working in Administration/Office Manager position within property
  • Knowledge of general repairs, maintenance and health and safety
  • Proactive and takes responsibility
  • Able to work independently and manage workload when dealing with varying queries
