Zachary Daniels have an exciting opportunity for an experienced facilities administrator/ coordinator to join a well established and successful organisation. Seeking a highly organised and motivated individual with strong communication and negotiation skills. This role will be key in driving the growth and management of the companies portfolio. The ideal candidate will demonstrate confidence in negotiating property contracts, identifying commercial opportunities, and working closely with multiple stakeholders to ensure smooth operational processes.

Facilities Administrator/ CoordinatorKey Responsibilities:

  • Identify and assess commercial property opportunities and collaborate with the Operations Director and MD to secure and manage contracts.
  • Source and develop commercial units, working with landlords, property agents, and legal teams to ensure alignment and efficiency.
  • Manage and negotiate contract terms, lease dates, Heads of Terms, and any necessary changes, ensuring adherence to P&L targets.
  • Coordinate and oversee refits, and other commercial related projects in collaboration with the operational teams.
  • Ensure that maintenance and projects are identified, coordinated, and executed based on feedback and site visits.
  • Set, agree, and monitor project timelines, ensuring that all relevant stakeholders are identified and involved from the beginning to completion.
  • Proactively identify and address any issues or delays in commercial projects, providing solutions that satisfy all parties involved.
  • Communicate regularly with internal and external stakeholders, ensuring all parties are kept informed and aligned on project progress.
  • Manage and support the existing portfolio of commercial properties, ensuring smooth operations and timely response to emerging issues.
  • Build and maintain effective relationships with partners, landlords, and external parties to ensure smooth business operations.
  • Manage the opening and closure commercial properties, working closely with the Operations Manager and Development Manager.

Facilities Administrator/ Coordinator Skills:

  • Strong administration skills with attention to detail and the ability to manage multiple projects.
  • Excellent communication and negotiation skills, with the ability to build rapport and effectively manage relationships with various stakeholders.
  • Numerate and able to manage budgets and P&L aspects of contracts.
  • Team player with the ability to work collaboratively across various departments and with external partners.
  • Proactive, solution-focused, and able to identify issues and resolve them efficiently.
  • Strong organisational and time-management skills, with the ability to prioritise tasks effectively.
  • Experience in property management or a related field is preferred.
