You will be part of a growing team, that deliver the vital services, that deliver on passion and make a difference.聽The role will provide comprehensive support to the CEO and wider Senior Leadership Team, managing the diary, scheduling deadlines, coordinating travel, and organising both internal and external meetings. The role will handle email correspondence, maintain records, and ensure that colleagues provide necessary briefing materials for the CEO. The role also includes organising Trustee Board meetings, managing Board attendance, taking minutes, and coordinating the distribution of meeting papers. Additionally, the role will support the effective functioning of the executive leadership team by organising meetings, preparing agendas, tracking action points and maintaining records of discussions. The role also involves scheduling all-staff meetings and quarterly away days, ensuring these events run smoothly.聽Governance 路聽聽聽聽聽聽 Provide all administrative support the Board of Trustees, including organising meetings, minute taking and additional administrative support as required路聽聽聽聽聽聽 Manage and service the Board Portal to ensure all papers are collated and circulated in a timely and organised way路聽聽聽聽聽聽 To proactively take and produce accurate minutes of all governance meetings, including an understanding of meeting decisions and follow up on actions路聽聽聽聽聽聽 Manage communications with Board members to ensure they kept up to date路聽聽聽聽聽聽 To take a lead on organising internal and external events for the Board of Trustees, including sourcing and booking venues, ordering catering and ensuring appropriate audio-visual equipment is available, preparing itineraries, collating and circulating event literature聽Recruitment and induction of Trustees路聽聽聽聽聽聽 Support the CEO with the recruitment and induction of all new Trustees路聽聽聽聽聽聽 Liaise with Communications team to advertise vacancies on MK and Northamptonshire YMCA websites路聽聽聽聽聽聽 Respond to applications and enquiries路聽聽聽聽聽聽 Set up interviews, liaise with interview panels, prepare interview packs路聽聽聽聽聽聽 Ensure follow up to all applications and interviews路聽聽聽聽聽聽 Process and ensure completion of all new starter administration路聽聽聽聽聽聽 Set up online training for new joiners (Flick and policies) and monitor completion路聽聽聽聽聽聽 Set up regular training days that all new Trustees participate in聽Internal communications and collaboration 路聽聽聽聽 Support on the delivery of cross-organisational meetings, events and away days led by Leadership Team, focusing on topics such as team development, culture and values, ensuring timely input from all relevant team members.路聽聽聽聽 Develop shared processes and to nurture constructive communication with internal and external stakeholders路聽聽聽聽 Maintain an overview of organisational issues and assist with internal communication聽Executive support路聽聽聽聽聽聽 Support the Senior Leadership Team as needed with administrative needs, e.g. conference booking, room booking etc路聽聽聽聽聽聽 Lead on the administration of key projects for the charity, e.g. Trusted Charity accreditation路聽聽聽聽聽聽 Proactively manage diaries to ensure the strategic needs of the Senior Executive are coordinated and prioritised.路聽聽聽聽聽聽 To work with confidential and sensitive information ensuring that YMCA meets its obligations under the General Data Protection Act, working to the highest standards聽It is essential that the post holder maintains confidentiality at all times.
