Working Hours: 35 Hours Per Week, 09:00 - 17:30

Job Purpose:

  • To provide high-level, comprehensive support to one of the Executive Directors in the Corporate Management Team, requiring a thorough knowledge of the areas of accountability, the context of operation and existing priorities.
  • To provide a link between service areas, the Corporate Management Team, external partners, Cabinet Members and Councillors to manage key issues on behalf of the Council and to support the delivery of the corporate plan
  • To provide high-quality and professional support to specific high-profile corporate projects and programmes of work, many of which will be of high public interest and therefore, linked to key Cabinet Members' commitments and aspirations.

Key Responsibilities:

  • To provide proactive, high level and confidential support to the Executive Director inbox dealing efficiently and effectively with high-level enquiries.
  • Act as a focal point for enquiries, written, telephone, and oral. Screening requests, responding where appropriate, routing enquiries to a proper function, and raising with the Executive Director with background information as required.
  • Create links and effective working relationships. These may be internal or external to the Council and involve exchanging information or removing obstacles to the Executive Director's role.
  • To gather information required by the Executive Director and other groups for them to make strategic decisions.
  • Participate in the rollout of new procedures relating to the Council's secretarial services, with a particular emphasis on our IT ambitions.
  • Update and produce quality documents/ plans and reports to monitor and report on progress to the Executive Director, ensuring a high standard of accuracy and presentation is maintained.
  • To organise and service meetings including the provision of agendas, taking accurate notes and minutes, electronic distribution of papers and pursuing follow-up actions. Make bookings for venue, refreshments and equipment. And ensure to utilise time to best advantage.

Qualifications:

  • Experience in working with and supporting senior managers at a strategic level and ability to demonstrate a high level of professionalism.
  • Experience in organising meetings and taking minutes.
  • Ability to type at 50wpm (desirable).
  • Excellent stakeholder management and communications skills both written and verbal with the ability to interact professionally with a diverse range of individuals internally and externally.
