We're seeking an Office Manager to play a key role in overseeing the daily operations and maintaining a safe, efficient, and welcoming office space.

Client Details

The Office Manager will take charge of the smooth functioning of our office, focusing on a wide range of responsibilities, including health and safety, facilities maintenance, and vendor management. Working closely with the Head of Facilities, this role is essential to ensuring our site remains a productive and safe environment for all.

Description

Key Responsibilities:
  • Health & Safety Compliance: Oversee site health and safety practices, including conducting risk assessments and participating in quarterly meetings. Ensure compliance with all relevant health and safety regulations.
  • Budget Management: Work collaboratively with the Head of Facilities to set budgets for facility-related expenses, including managing routine approvals.
  • Statutory Compliance: Ensure full compliance with all statutory regulations relating to facilities and office management.
  • Service Level Management: Develop and monitor service standards in conjunction with senior management, ensuring our workplace services meet or exceed expectations.
  • Process Development: Implement and maintain documented processes and procedures for efficient office operations and service levels.
  • Issue Resolution & Reporting: Serve as the primary point of contact for office-related issues, managing a help desk for on-site queries and escalating as needed. Regularly report on key metrics to the Head of Facilities.
  • Vendor & Property Management: Administer contracts with suppliers, manage day-to-day office needs, and ensure optimal property maintenance in partnership with external agents.

Profile

Ideal Candidate Profile:
  • Proven experience managing office facilities with an emphasis on health and safety and administrative systems.
  • Proficient in budget handling, with a solid understanding of vendor management.
  • Strong organizational skills, with the ability to manage competing priorities in a fast-paced environment.
  • Effective communicator, capable of liaising with multiple departments and maintaining professional relationships with both internal teams and external vendors.
  • High standards of discretion, professionalism, and a customer-focused approach to service delivery.
