- Stakeholder Relationships: Create and maintain excellent and successful relationships with all stakeholders, including customers, freight forwarding agents, Customs brokers, and colleagues.
- Shipment Coordination: Arrange daily export shipments by air, sea, and road to customers.
- Consultation and Decision Making: Consult with customers, freight forwarding agents, Customs brokers, and colleagues to arrange despatch dates and transport. Obtain freight quotes and make decisions on price and delivery options.
- Documentation: Create export invoices, packing lists, shipping notes, and Excel reports (using V Lookups, formulae, and pivot tables) to provide data for Customs clearance. Ensure all export documents are accurate, and shipping is in accordance with international trade procedures. In addition ensure SOPs in place for all processes.
- Aviation Security Compliance: Strive to achieve and then adhere to Government rules surrounding aviation security. Uphold the company’s status as a Known Consignor, ensuring that only trained logistics staff pack, store, and despatch air cargo. Issue Known Consignor certificates for individual shipments, check the UK Department of Transport database for valid Regulated Agent status, and remain vigilant for threats to air cargo safety.
- Reporting: Support weekly and monthly reports in Excel, including analysis of Premium Freight Costs, and Status of Evidence of Export records for tax compliance. This includes reviewing of the monthly Import and Export MSS reports and following through on any non-compliance.
- Shipment Register Management: Manage the Shipment Register by entering shipping details for every export invoice.
- Compliance and Audits: Collect evidence of export from freight forwarders (UK Customs export entries and Proof of Delivery documents) and file electronically for compliance audits and HMRC inspection.
- Internal Coordination: Liaise with production planners, production managers, sales teams, and quality engineers to plan shipping requirements.
- Proven experience in export/import coordination or a similar role
- Strong knowledge of international trade regulations and compliance
- Proficiency in Microsoft Excel
- Excellent communication and interpersonal skills
- Ability to work under pressure and meet tight deadlines
- Detail-oriented with strong organisational skills
- Experience with aviation security procedures and Known Consignor status is a plus
