REED Business Support are pleased to be working with one of Perth’s Largest Transport Companies, who are looking to recruit a ‘Personal Assistant’ on a Temporary basis. As the Personal Assistant you will be responsible for supporting the Pensions and Tax Director and his team in carrying out their duties. The role covers a wide range of support activities from diary management, personnel, travel arrangements, meeting and event organisation and minute taking with confidentiality and discretion.

Monday - Friday // 09:00 - 17:00 (35 Hours)

£15.50 - £16 /hr

Hybrid working pattern

Start Date: Asap

4 Weeks (Initially – likely extension)

Key Responsibilities:

  • Diary management - Managing diaries, prioritising and protecting the working time to ensure they are meeting important tasks, hit deadlines and attend meetings. Proactively look for potential issues and plan ahead for the needs of the individual 
  • Meetings and events – Booking rooms and confirming hospitality, supporting in the completion of presentations and collation of materials, support during meetings with minute taking, action logging and hospitality or technical needs
  • Travel and accommodation – Book travel and accommodation for individuals via our travel system in line with the companies polices
  • General Administration – Attending meetings and taking minutes, preparing agendas, ensuring rooms are booked and welcoming internal and external guests.  Creating and maintaining spread sheets/databases for information.
  • Support on department personnel including management and performance reviews.
  • General PA Support – Carry out general administration tasks for the individuals supporting. Liaise with Directors, Management, and wider team. Process expenses and credit card reports. Act as a first point of contact, dealing with correspondence and phone calls.

What we're looking for:

  • Experience in a similar PA role is desirable
  • Knowledge of Office 365 email and calendar 
  • Knowledge of Share Point
  • Experience and confidence communicating with people of different levels of seniority
