The Artisan Recruitment Group are looking for Document Controller for a leadingmechanical services contractor, that providebespoke technical solutions.Services include plant room installations, office refurbishments, underfloor heating systems, sports pavilions, and chiller and AHU plant installations.

Key Responsibilities:

  • Document Management:

    • Organize, store, and maintain all project-related documentation, including contracts, mechanical drawings, specifications, and project reports.
    • Ensure that all documents are filed correctly, easy to access, and up-to-date throughout the project lifecycle.
    • Implement version control procedures to ensure the latest drawings and documents are being used by the team.
  • Coordination & Communication:

    • Act as the main point of contact for document-related queries between internal teams, clients, subcontractors, and suppliers.
    • Distribute documents, reports, and drawings to the relevant project stakeholders.
    • Facilitate the collection of documents and approvals from clients and regulatory bodies when required.
  • Compliance & Quality Control:

    • Ensure all documents comply with industry, safety, and project-specific standards and regulations.
    • Monitor the document review and approval process to ensure timely and accurate submission of required documents.
  • Software & System Management:

    • Maintain the document management systemto ensure proper archiving and retrieval of project files.
    • Keep digital and physical document storage systems organized and easily accessible for project teams.
  • Archiving & Reporting:

    • Ensure all project documents are archived properly at the completion of projects, making them available for future reference or audits.
    • Generate regular reports on document status, approvals, and submission timelines.

Qualifications & Skills:

  • Experience:
    • Previous experience in document control, administration, or a similar role, preferably within the construction, mechanical, or engineering industry.
    • Experience working with construction documents, mechanical drawings, and contract documentation is highly desirable.
  • Skills & Attributes:
    • Strong attention to detail and excellent organizational skills.
    • Effective communicator with both written and verbal communication skills.
    • Ability to handle multiple projects at once while maintaining document accuracy.
    • A proactive approach to problem-solving and process improvements.
