What Are We Looking For?

Greenacre Environmental Systems are looking for an Office Administrator to join the business. This is a part-time position contracted to 25 hours per week worked over 5 days. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing administrative tasks, supporting staff, and maintaining efficient office procedures. There is some flexibility regarding start and finish times. The role has varied responsibilities, including the ones listed below in the Key Duties.

Some of Your Key Duties Include:

  • General clerical duties including photocopying, filing and scanning
  • Answer and direct phone calls with professionalism and courtesy
  • Accounts – administration of purchase and sales invoices
  • Document preparation including reports, manuals, template creation and quality documentation such as certificates
  • Working closely with office and site staff to manage the IMS (Integrated Management System).  This includes managing records for quality control, supplier management, equipment safety inspection records
  • Perform data entry tasks accurately and efficiently maintaining up to date records in areas such as expenses, mileage, overtime hours
  • Responsibility for travel arrangements including booking hotels and transport
  • Maintain office supplies and place orders where necessary
  • Organise staff workwear
  • Social Media Management (LinkedIn)

Skills and Experience:

  • Proficient with IT & Microsoft Software Packages
  • Experience of working in an administrative role
  • Excellent phone etiquette and communication skills
  • Ability to work independently and as part of a team
  • Strong organisation skills and ability to multi-task
  • Willingness to learn new skills to carry out the role
  • Accounts experience desirable
