Join Our Dynamic Team as an Executive Assistant!

Are you ready to take your career to the next level? We are searching for a highly motivated and organised Executive Assistant to become a crucial part of our thriving company! In this role, you will be the backbone of our operations, providing vital support to our partners and contributing to our positive work culture.

Hours: Mon-Fri, 08.45-17.30

Location: Hybrid (Office is based in Richmond)

Salary: £50,000

Objective/Purpose of Role:The Executive Assistant (EA) position is pivotal to our company's success. You'll perform extensive PA, HR, Office Management, and administrative duties while being the first point of contact for our organisation. With your proactive approach, you'll help us thrive!

Key Activities / Key Responsibilities:As our Executive Assistant, you will:

  • Provide full administrative and PA support to two full-time partners and one part-time partner, along with ad hoc support for our team of Analysts and Consultants.
  • Anticipate needs by understanding business priorities and direction.
  • Serve as the first point of contact for prospective clients and handle requests from existing clients on behalf of the Directors.
  • Manage diaries, coordinate international travel, and handle paperwork with precision.
  • Efficiently monitor emails during meetings or when out of the office to ensure seamless communication.
  • Oversee sales invoicing and supplier payments, keeping our financials in check.
  • draught and manage office budgets while producing monthly financial management reports.
  • Facilitate bookkeeping processes and act as a liaison with accountancy, payroll, and pension services.
  • Create a vibrant office/home working environment, ensuring smooth operations and H&S compliance.
  • Collaborate with our HR legal team on various HR duties.
  • Support the graduate recruitment process alongside the recruiting partners.
  • organise team social activities to foster connections and a strong positive culture.
  • Assist Managing Partners with biotech entrepreneurship initiatives within the biotech space.
  • Provide backup support to the Business Research Manager and the Business Presentation Specialist, including preparing presentations and proof-reading reports.
  • Engage in exciting project work that propels our mission forward!

Person Specification:We are looking for someone who is:

  • Highly literate/numerate and preferably degree-educated.
  • An excellent communicator, both in writing and verbally.
  • Possessing gravitas, diplomacy, and strong influencing skills.
  • Outstandingly organised, able to prioritise and multi-task effectively.
  • Detail-oriented with extremely high standards of work.
  • Confident in engaging with senior managers in large blue-chip companies.
  • Proficient in Microsoft Office (PowerPoint, Word, Excel, Outlook) and skilled in using these tools regularly.
  • A team player who can build connections and work independently when needed.
  • Empathetic, with a good sense of humour!
  • Passionate about healthcare matters.
  • Experienced as an EA with a depth and breadth of expertise.
