Business Support Assistant - Part Time

Objective of Role

Reporting into the Business Support Manager and working as part of a team, the Business Support Assistantis responsible for answering of incoing calls, greeting clients/ visitors and assisting with the management of the HRIS (Human Resources Information System) Exelsys, along with preparation of documentation for the management team and providing general business support to the wider team when required.

Key Tasks

Opening, date stamping, and distribution of post

Copying, scanning and filing of documentation

Typing duties, i.e. Letters and reports etc

Archiving of paperwork for all departments

Operating a switchboard inclusive of relaying messages by voice mail and / or email

Greeting all visitors / clients in a polite and professional manner

Providing refreshments for meetings when required

Printing of drawings

Administrative support to all departments

Foster an inclusive and respectful working environment

Address any incidents of discrimination or harassment promptly

Ensure all site practices comply with equality and diversity legislation

Promote equal opportunities for all employees and contractors on site

Person Specification

Essential Attributes

Experience in an admin/business support role

Excellent IT and communication skills

Excellent telephone manner

Highly organised with the ability to multi-task stay focused and calm under pressure

Excellent timekeeping, punctuality, and attendance

Good level of both written and verbal English

Competent in the use of Microsoft Office

Desirable Attributes

Sound knowledge and understanding of the business

Experience of dealing with senior management

Personal Attributes

Professional

Self- motivated

Ability to work individually whilst retaining a team focus.
