Vacancy - Office Administrator

To organise and plan the required work on customer premises so that all runs smoothly, co-ordinating with customers and Technicians. You will have administrative experience within a fast-paced commercial environment such as servicing. You will Ability to deal effectively with issues raised by customers.

Responsibilities:

  • To deal first hand with customers by both phone and email, producing their quotes and invoices, taking credit card payments, advising them, and helping resolve queries.
  • Consult with customers and Technicians to organise each day’s work, booking in jobs on customer premises around the UK to fit in with both customers and Technicians, recording any finer details.
  • Produce the worksheets for Technicians ensuring all the details for a job’s requirements are precisely shown and plan their daily schedules within journey times and expected duration for each job.
  • Where jobs are cancelled or there are unexpected changes to the plan, to respond quickly and reorganise.
  • When jobs are completed, to create certificates for customers when requested, as well as reporting that may be required by customers.
  • Update records on spreadsheets and Word.
  • Pick and book out parts for invoices to be raised, making sure our stock is accurately recorded.
  • Good geographical knowledge of UK roads to enable planning of journey times, and an interest in keeping up to date with journey difficulties.
  • Able to communicate effectively and promptly with customers by both phone and email.
  • Skills with Word and spreadsheets.
