A modern and forward-thinking firm in Tunbridge Wells is looking for a dedicated and experienced Private Client Secretary to join their team. Hybrid working options are available, offering flexibility alongside a competitive salary and benefits package.

Main Duties:

  • Ensure the smooth flow of documents and correspondence in and out of the department.
  • Type legal documents from handwritten notes or by transcribing digital dictation.
  • Scan, email, and fax correspondence and documents as required.
  • Manage file operations including opening, closing, and filing documents.
  • Prepare photocopies, including trial bundles.
  • Answer telephone calls, handle routine inquiries, and take messages.
  • Manage fee earners' diaries, organizing both internal and external meetings.
  • Provide support to other secretaries across the firm when needed, particularly during busy periods or in the absence of a fee earner.
  • Undertake any other reasonable duties as assigned.

Specialist Skills Required:

  • Excellent IT skills, particularly in Word; basic knowledge of PowerPoint and Excel is a plus.
  • Experience with Practice Management Systems is desirable.
  • Strong telephone skills.

Personal Skills Required:

  • Strong interest in legal matters and an understanding of confidentiality requirements.
  • Well-organized, conscientious, and detail-oriented.
  • Ability to work independently and as part of a team.
  • Ability to work under pressure and meet deadlines, with excellent time management skills.
  • Clear and effective communication skills, both written and verbal, with a good grasp of grammar, spelling, punctuation, and sentence construction.
  • Strong interpersonal skills, including tact, patience, understanding, and persuasiveness.
  • Smart appearance and professional demeanor.

Qualifications/Experience:

  • Good standard of general education, particularly in English.
  • Numerate and literate.
  • Proficiency in word processing, with qualifications preferred.
  • Training as a legal secretary or a relevant qualification.
