We are seeking a highly organised and efficient Office Administrator to join our client's team. This role is crucial for providing vital administrative support to ensure smooth office operations. The ideal candidate will be proactive, detail-oriented, and capable of handling multiple tasks with professionalism. Basic bookkeeping knowledge is helpful but not essential.

Day-to-day of the role:

  • Manage the Mail@ inbox and ensure timely responses and forwarding.
  • Perform general administrative tasks using Word and Excel.
  • Maintain the Congestion Charge and DART accounts for company vehicles.
  • Oversee the upkeep of company vehicles, including servicing and MOTs.
  • Handle client questionnaires and manage customer security forms.
  • Add new customers and suppliers to Joblogic and Sage.
  • Manage subcontractor questionnaires, insurances, and CIS statements.
  • Apply for airport passes and driving permits, managing vehicle permits qualifications.
  • Arrange training courses and handle Skillcards, including booking H&S tests and applying online.
  • Upgrade quotes on Joblogic, raise jobs on Sage, and scan and add delivery notes to Joblogic.
  • Check and log invoices against purchase orders, distributing them for signature.
  • Maintain company insurances, accreditations, and policies on customer portals annually.
  • Order stationary, uniforms, and office supplies.
  • Conduct employees' driving license checks and register apprentices with college.
  • Type standby and Christmas rotas for engineers.
  • Place claims with Daikin & Mitsubishi for Partner Programme.

Required Skills & Qualifications:

  • Proven experience in an administrative role.
  • Proficiency in Microsoft Office (Word, Excel).
  • Ability to manage multiple tasks efficiently and effectively.
  • Excellent organisational and time management skills.
  • Strong communication skills and attention to detail.
  • Experience with Joblogic and Sage is advantageous but not required.
