Our client, a leading financial services organisation is seeking an experienced Administrator to join their team in Woking.

As an Administrator you will be to supporting the Advisers and -Para-planners in various non-advisory tasks. This includes sending out Advice letters, responding to client queries, processing trade deals, and maintaining client databases. Your role is crucial in ensuring a seamless and efficient service delivery to our clients

Responsibilities:

Client Support:

  • Send out Advice letters and collate necessary enclosures.
  • Liaise with clients through secure messaging system, email, or telephone to address their queries.
  • Handle allocated post.
  • Process new clients in accordance with procedures.
  • Work with Advisers and Admin Team to meet deadlines and service level agreements.
  • Process trade deals daily across multiple platforms.
  • Track Letters of Authority and product information requests.

Client Database(s) Management & Maintenance:

  • Monitor and action assigned activities within set time frames.
  • Maintain accurate and updated client information on internal systems.
  • Enter client information on appropriate platforms.
  • Conduct client reviews and pass them to the Adviser for checking before sending to the client.

General Administration:

  • Open, scan, and allocate incoming post.
  • Frank and post outgoing mail, including Special Delivery items.
  • Process received forms promptly and update client database.
  • Handle inbound calls and redirect or take messages as required.
  • Maintain client file documents in compliance with regulations.
  • Assist with marketing administration when necessary.
  • Update online database with client data and valuation feeds.
  • Undertake any other administrative tasks following established procedures.

Skills/ Experience:

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams).
  • Approachable and professional manner.
  • Strong communication skills.
  • Ability to prioritise tasks and work efficiently.
  • Minimum of 2 years' relevant experience in administrative roles within the financial services sector.
  • Experience using CRM software, preferably Intelliflo.
  • Familiarity with platforms such as Aegon, FundsNetwork, Transact, and James Hay.(Desirable)
  • Knowledge of IFA office procedures and compliance (Desirable)
  • Degree level of education.
  • Willingness to pursue further education or training, such as Diploma in Financial Planning.
