Job Advert: Administrative Support OfficerMyn is excited to recruit an Administrative Support Officer on behalf of our client.Main Purpose of Position:To provide comprehensive administrative support for managers and staff across the Adult Social Care (ASC) department.Administrative Support Officers in ASC are committed to achieving departmental service objectives and priorities. They support all staff within ASC, coordinating specific tasks and activities across the service and ensuring that systems and processes are in place for the efficient and effective delivery of ASC services.As an Administrative Support Officer, you will be responsible for:
  • Providing business and administrative support to ASC, including managers and staff, to ensure effective performance and delivery of service priorities.
  • Assisting ASC managers and staff by dealing with enquiries, telephone calls, reception duties, and contacts with service users and other departments, while maintaining a proactive, customer-focused approach to achieve good outcomes for service users and their carers.
  • Processing invoices, ordering, and other budgetary tasks for authorisation to maintain the financial operations of the service, including banking payroll and maintaining appropriate financial records.
  • Liaising with other departments to ensure timely and efficient financial administrative processes.
  • Maintaining and collating management information under the direction of managers to monitor and meet team and service quality and performance standards.
  • Assisting managers in analysing performance reports and exception reports, as well as auditing ASC work for managers.
  • Monitoring complaints received by the service under the complaints procedure and ensuring compliance with deadlines for responses.
  • Assisting ASC staff in arranging meetings and coordinating attendance arrangements.
  • Attending meetings when required, taking minutes, and distributing them as directed.
  • Preparing and finalising all relevant paperwork for meetings.
  • Supporting managers in the recruitment of staff by coordinating interview arrangements and following up on administrative HR processes as required.
Skills and Experience:
  • Demonstrable experience in providing administrative support and competence in using IT systems.
  • Good standard of written and oral communication skills.
  • Ability to undertake accurate records of meetings, maintain work-related records, take notes, and prepare minutes.
  • Able to effectively communicate with service users and professionals, gathering and recording information accurately.
  • Ability to recognise discrimination in service delivery or the workplace and seek appropriate management advice when identified.
  • Knowledge of Microsoft packages (Word, Excel, Access, Outlook) and internet usage.
  • RSA Level 2 or Word Processing Level 2 or equivalent experience.
  • Experience with IT/MIS systems, word processing, spreadsheet packages, and administrative procedures, including database usage.
  • Minute-taking experience.
