We are recruiting for an experienced back-office Operations Assistant within a large Principal Partner Practice of St. James’s Place Wealth Management (SJP) based in Moorgate, London.

Role overview

Reporting directly to the Operations Director, the Operations Assistant will provide on the ground operational office support to a large business currently in excess of 150 team members (combination of Financial Advisers and various back-office support staff), which is strategically planned to continually grow over the next five years.

The Operations Assistant will be part of the Office Management Team as the go to people to provide support internally for a number of general daily tasks to ensure the smooth running of the office, whilst also being fully responsible for various projects in order to ensure smooth continuity of service for the business during its development and growth.

Due to the nature of this role, it will be full-time office based. It would be particularly suited to someone who enjoys working in fast paced, compliance and process driven environment and is capable to take the reins and lead implement projects from inception seeing them through to full completion.

Role requirements

  • Fully support the successful execution of new joiner and leaver processes to meet GDPR, FCA, SJP and internal company regulations
  • Liaising effectively with Operations Director regarding third party contracts relating to location management including: Information technology, SJP, Office building provider.
  • Liaising effectively with all internal team members, SJP departments, IT providers and building management as needed to ensure efficient day-to-day location management
  • Manage and implement the operations annual calendar in liaison with the Operations Director
  • Manage appropriate office management policies, processes and procedures, as guided by the Operations Director
  • Provide comprehensive office management support as agreed with Operations Director including both ongoing operational tasks and project-orientated activities
  • Support the company leadership team with administration or input as required.

Person specification

  • Recognised the importance of and experience of working within a highly regulated working environment
  • Capable of understanding business requirements and adapting with speed and in line with existing processes in place
  • Experience of basic level project management - carrying through a full process from inception to completion (completer finisher mentality)
  • Outstanding organisation / administration / communication skills
  • High level of computer literacy including Word, Excel, Outlook, PowerPoint.
  • Strong drive to achieve results; going the extra mile where required to reach goals
  • Resilient and persistent
  • Positive, problem-solving, can-do mentality
  • Scrupulous attention to detail and accuracy
  • Excellent interpersonal skills, via telephone, email, writing and face to face

Additional information

  • Salary: £25-35k per annum
  • Location: Full time employed office-based role (5 days a week due to nature of the role). Barbican / Moorgate, London (EC2V)
  • Monday to Friday 8.30am to 5.00pm or 8.00am to 4.30pm (flexi-time available post probationary period whilst ensuring the needs of the business/role are met)
  • Holiday entitlement: 25 days per annum, plus bank holidays
