Are you a highly motivated, reliable, and organized individual looking for an exciting opportunity? We are seeking a Personal Assistant to the Managing Director to join our dynamic team.
Our client is a market leader in the commercial furniture industry. Specializing in supplying contemporary furniture globally to the hospitality industry, working with some of the world's biggest brands, including restaurants, hotels, airports, cruise liners, and nightclubs.
As the PA to the MD, you will be working directly alongside the managing.
Responsibilities:
- Liaising with clients, suppliers, and staff
- Organizing client meetings and samples
- Ordering office materials and supplies
- Booking transport and accommodation for business trips and events
- Liaising with external service providers (e.g., aircon, plumbers, electricians)
- Implementing and maintaining office procedures and administrative systems
- Ensuring company policies are up to date
- Managing supplier relations, including budgets and negotiating cost-savings
- Managing HR tasks, including recruiting, new staff induction, logging staff holidays and sickness
- Organizing company events (e.g., lunch & learns, company meetings, training days)
- Arranging birthday gifts, end-of-month celebrations, and team nights out
- Assisting with projects, including calculating costs, preparing quotes, and presentations
- Product selection from our website and supplier network
- Producing monthly management reports (including margins and sales figures)
- Assisting with customer services
Required Skills:
- Previous office-based, PA or EA work experience (minimum of 4 years)
- Attention to detail
- IT skills, including Microsoft Office (Excel) and good CRM experience (SugarCRM)
- Outstanding organizational and time management skills
- Clear and engaging communication with the team
- Reliability and discretion in dealing with confidential matters
- Initiative, leadership, and the ability to ‘make things happen’
- Problem-solving skills
- Budgeting skills and ability to negotiate
- Ability to multi-task and work well under pressure
- Excellent verbal and written communication skills
- Proactive and anticipatory – identify potential issues, prioritize tasks, take action with minimal supervision
