Job Title: Document Controller
Location: On-site, Edinbane, Isle of Skye
Job Overview:
We are seeking a dedicated and organised Document Controller to support our client's Operations Department in delivering projects efficiently. The successful candidate will be responsible for managing all project documentation, ensuring accurate recording, handling, and archiving of information. This role requires strong attention to detail, excellent organisational skills, and the ability to work collaboratively with project teams.

Key Responsibilities:

  • Manage all project document transactions, ensuring accurate recording within the Document Management System.
  • Maintain records of document transactions for audit purposes.
  • Record and track all necessary document receipts (transmittals).
  • Store and import documents into required systems.
  • Manage project correspondence, ensuring proper documentation and accessibility.
  • Collate and store project manuals efficiently.
  • Create and maintain necessary drawing and document lists.
  • Archive all project documents upon completion.
  • Provide support for the on-site management of documents during the construction phase.
  • Offer general administrative support as required.
  • Manage and index standard project information.
  • Maintain the document deliverables list under the guidance of the Project Engineer or Project Manager.
  • Monitor the document deliverables list, ensuring timely submission of documents and following up on any delays.
  • Generate reports and statistics to update the project team on document status.
  • Ensure timely printing, collating, packaging, and dispatching of documents to relevant parties.
  • Adhere to all company procedures and standards.
  • Collaborate closely with other departments to achieve project objectives.
  • Work towards personal development goals as set through the PEDP or other processes.
  • Continuously review and improve procedures to enhance efficiency and minimise costs.
  • Produce project posters to communicate key information.
Skills & Requirements:
  • Educated to A Level standard or equivalent.
  • Strong understanding of engineering projects and document control systems.
  • Proficiency in CAD systems and advanced Microsoft Office skills.
  • Excellent organisational and time-management abilities.
  • Strong attention to detail and accuracy.
  • Ability to work independently and collaboratively within a team.
  • English-French bilingual skills would be an advantage.
